Bulk e-invoice from Excel: one file for many invoices
The IRP's bulk upload takes one JSON file holding many invoices. Instead of typing every invoice, fill one Excel sheet and let the maker turn it into that file, checking every invoice first.
Step by step
- Choose your business in step 1 of "Many invoices at once from Excel". It comes from your saved businesses (add one in My data if the list is empty). Its GSTIN, address, City, PIN and state go into every invoice. Also choose your turnover band.
- Press "Download the Excel template". It opens in Excel, Google Sheets or LibreOffice. The first sheet has two example rows; the second sheet, How to fill, explains every column.
- Fill one row per item. Rows with the same Invoice No make one invoice; the buyer details are read from its first row. Delete the examples.
- Save the file as Excel (.xlsx), or as CSV UTF-8, and press "Choose your Excel or CSV file".
- Read the list. Every invoice shows Ready or what to fix, with the row number. Fix those rows in Excel, save, and choose the file again. Invoices that still need fixing are left out of the file.
- Press "Download e-invoice file". Keep Also save these invoices in My data ticked if you want to print them here with the IRN later.
- Upload on einvoice1.gst.gov.in › e-Invoice › Bulk Upload.
- Load the portal's reply in step 3: the result file you download from the portal after the upload (JSON, or the Excel result sheet). Each matching saved invoice gets its IRN, Ack No. and signed QR code. Press Open and print next to an invoice to print it.
The columns
| Column | What to type | Example |
|---|---|---|
| Invoice No | Up to 16 characters: letters, digits, / and -. Not starting with 0, / or -. | INV/26-27/101 |
| Invoice Date | DD/MM/YYYY, not a future date | 05/11/2026 |
| Supply Type | B2B, SEZWP, SEZWOP, EXPWP, EXPWOP or DEXP | B2B |
| Reverse Charge | Y or N | N |
| Buyer GSTIN, Name, Address, City, PIN, State Code | As registered. State as the 2-digit GST code (03 Punjab, 27 Maharashtra) or its name | 27AAPFU0939F1ZV |
| Place of Supply | State code; empty = the buyer's state | 27 |
| Item Description, HSN/SAC | 6- or 8-digit HSN or SAC | 52051200 |
| Quantity, Unit, Rate, Discount %, GST % | Unit as a GST code (NOS, KGS, PCS, BOX…); rate before GST | 100 · KGS · 250 · 0 · 5 |
Your own sheet works too, if its headings are close to these (for example "Customer GSTIN" or "HSN Code"). In Excel, type HSN codes and state codes as text so a leading zero (0401, 03) is not lost; our template already does that.
A worked example
A Ludhiana yarn trader (state 03) bills two buyers on 5 November 2026:
| Invoice No | Buyer state | Item | Qty × Rate | GST | Tax |
|---|---|---|---|---|---|
| INV/26-27/101 | 27 Maharashtra | Cotton yarn, HSN 52051200 | 100 × ₹250 | 5% | IGST ₹1,250 |
| INV/26-27/101 | (same invoice) | Cotton yarn, HSN 52052400 | 40 × ₹310 | 5% | IGST ₹620 |
| INV/26-27/102 | 03 Punjab | Cotton yarn, HSN 52051200 | 60 × ₹250 | 5% | CGST ₹375 + SGST ₹375 |
Three rows make two invoices. Invoice 101 is inter-state (₹37,400 + IGST ₹1,870 = ₹39,270); invoice 102 stays in Punjab (₹15,000 + ₹750 = ₹15,750). One file carries both.
Mistakes that get a file refused
- An invoice number already registered (each number can get only one IRN, even after cancelling).
- 4-digit HSN codes, or codes that are not in the GST HSN list.
- A PIN code that does not belong to the state chosen.
- A wrong GSTIN, or a buyer GSTIN that is cancelled.
- Invoices older than 30 days, for businesses at ₹10 crore or more.
